Moving into your Clan Living Loughborough Student Accommodation
Information for our Loughborough University tenants moving into your Clan Living property.

Our promise to you this year is simple; we will go to great lengths to make your time with us truly memorable.
The Move In Process
At Clan Living we want to ensure that your move in experience is as smooth as possible.
These steps below are designed to guide you through moving into your Clan Living property.
1) Ensure Rent and Deposits are paid
In order for you or any of your house members to gain access to the student property from the start of your tenancy, you must ensure that your first instalment of rent has cleared on the beginning of your tenancy and that your deposits have already been paid.
Rent instalments are due every quarter (every 3 months) on the 1st of each month. (An ‘instalment’ means a quarters rent, or 3 months worth.)
The rent is due by standing order; visit your bank to set up a payment into the account above. We can provide a standing order form to assist you.
(A standing order is an instruction for your bank to pay us; we do not have access to your account and will never ‘take’ money.)
Bank transfers often take a few days; so to ensure that you pay your rent on time, please set up your standing order on the 27th of each month to ensure the rent arrives in our account on the 1st of the following month.

2) Arrange key collection
Once we have confirmed that your first instalment of rent and your deposits have been paid, you will be able to arrange a key collection for your property.
At Clan Living we will always endeavour to meet you at the property to give you a short tour of the house to get you up to speed with the ins and outs of the student house.
However, if this is not possible, we will leave all house members keys in an envelope within the property.
This is the key to which you will use throughout your tenancy.
You will be able to gain initial access to the property via a dedicated property key box, to which we will give you an access code upon your arrival.
Simply return the key you used to gain access to the key box once you have retrieved your key from the property.
In order to ensure a smooth key collection; please notify us at least a week in advance of your impending arrival.
3) Check Inventory
Prior to the start of your tenancy, we will have cleaned* the property and performed an inventory*.
This inventory will be presented to you upon your arrival, and you should take the time to review it.
This will be used at the end of the tenancy to compare the state of the property, so it is important that you are happy that at the time of your arrival, the inventory we provide accurately and objectively reflects the condition of the property
4) Compile Report
We encourage you to spend some time reviewing the property and taking photographic / video evidence of anything you think is worth mentioning to us that you feel you would like to clarify is not of your doing at the point of your arrival.
This way, you are protected come the end of the tenancy that we will not charge you for anything you have already proven to us was present in the property already.
Simply take any photos of anything you think we may have missed, and send them to us in your house group with a brief explanation.
5) Move in belongings
You are now ready to move your belongings into the property, making it your lovely, student home for the year.
6) Report any Maintenance
It will be highly unlikely that there will be severe issues upon your move in.
However, if you are unhappy with certain aspects of the house, or there are small maintenance issues to be resolved, simply notify us via email and we will arrange our contractors to resolve these issues until you are satisfied.
It is likely that you may not notice any issues until you spend a bit of time in the house. This is normal. There are things that may have been missed.
We recommend you do this once everyone has moved in for about a week; compile a list of everybody’s issues or complaints and send it to us in one go. This allows us to properly ensure we resolve your issues effectively.

APPENDIX
* INVENTORY
You will be provided with a digital inventory prior to your arrival to the property.
This will consist of photos and video footage to provide you with a clear, objective view of the condition of the house upon the start date of your tenancy.
If there are certain aspects of the house you wish to announce and outline to us, please do so; you can take your own inventory to support ours with your own photos to ensure you are not charged for any damage you are not liable for from the beginning of your tenancy.
* CLEANING
The house will be cleaned as close to the date of your move in as possible.
e.g. If your tenancy starts on the 1st of July but you do not intend to move in until the beginning of term in late September, we will not clean the house until September.
By doing this, the house will not become dirty again over the summer whilst you are away and ensures the house is as fresh and clean as possible for when you move in.
