Moving out of your Clan Living Loughborough Student Accommodation

Information for our Loughborough University tenants moving out of your Clan Living property.

MOVING OUT

Our main objective is to ensure your move out process is smooth and that you have the best possible chance of receiving your full deposit back.

The Move Out Process

Please follow these steps outlined below to ensure you receive your deposit back in full and that you experience a stress free move out from your student home.

1) Pre-Check Out

We will organise a pre-check out meeting with yourselves several weeks before the end of your tenancy.

In this meeting we will cover:

  • How to ensure your deposit is returned fully

  • Things you should do in preparation of moving out

  • Cleaning guidance

  • Process of returning keys

  • Deposit returns

  • Outstanding rent or bills

  • Maintenance issues

In this meeting we will also arrange a final closing inspection, which happens on your move out date which is outlined below.

2) Clean Property

Using the advice from the pre-check out meeting, it’s now up to you to ensure you have the best possible chance of keeping all of your deposit.

Make sure you clean your room, remove ALL belongings, clean all communal areas and get rid of all rubbish.

*Leftover rubbish or belongings, whether in bags or not will be removed at our cost which will be deducted from your deposit.

3) Closing Inspection

During the closing inspection a member from Clan Living will inspect the property and access any damage to walls, ceilings, floors, fixtures or fittings.

They will offer you the opportunity to make amends before you move out for good in order to maximise your deposit returns.

Any damage to the property or missing items adjudged to be at the fault of the tenants will be listed and deducted from the deposit.

4) Key Return

Depending on when the closing inspection occurs, a member of staff will collect the keys from the property.

Should you have left prior to the closing inspection, please leave the key in a sealed envelope with your name and place it in your bedroom for us to collect at a later date.

5) Deduction and Charges Report

Any damage to the property, including the walls, ceilings, floors, doors, furniture, fixtures and fittings will be assessed in the closing inspection.

A deduction report will be produced on the basis of the closing inspection. Any deductions will be taken out of the household deposit.

It is not our intention or desire to charge you unreasonably from your deposit. All our charges will be discussed, listed and explained prior, giving you every opportunity to avoid it. We do our best to ensure everyone receives their deposits back in full, but our charges are justified, if there are any.

This also includes any overspending on your utilities if you are on a inclusive contract.

Remember that the house was taken on a joint and several basis. This means any financial responsibility is split equally between all of you unless someone takes responsibility for a certain bit of damage or a deduction.

6) Deposit Return

Once the closing inspection has been carried out and the deduction report has been agreed, we return the deposit back to one member in the house via bank transfer.

Select one person to receive the deposit, and email us with the appropriate bank details - sort code and account number.

We aim to transfer back the deposits up to 15 days from the day we receive the bank details for the nominated tenant after the deposit deductions have been agreed.

This may take longer depending on whether or not there are discussions and deductions to be made.
